Someone walks in and asks what you have. Rather than typing while they wait, hand them a tablet and let them book themselves.
What it is for
The customer picks their treatment, time and therapist and enters their own name. No account, no login, and no payment on the tablet — they pay at the counter as usual.
Between customers the screen resets to a clean welcome view, so nothing carries over from the person before.
Before you can use it
Your shop needs a public booking page — that is, a URL slug set in Settings → Shop → Shop Details. Without one, the Walk-in button is disabled and says so. See Your Public Booking Link.
Starting a session
- On the Calendar, click Walk-in.
- WellDesk opens the walk-in screen on that device.
- Answer the check-in question, then hand the tablet over.
Use a spare tablet or phone kept at the counter, not the device you run the shop on.
New or returning
Before handing it over, the Customer check-in step asks whether they have been before:
- New customer — hand it straight over; details are taken at the end.
- Existing customer — look them up first with their name and phone (or email), so a regular is not added as a second record.
Take the ten seconds to look someone up. It is the difference between a customer’s history staying in one place and slowly fragmenting.
What the customer does
Four steps, in this order:
- Treatment — with a photo, name and price for each option.
- Time
- Therapist
- Your name — name is required, phone and email optional.
Then Confirm booking, and a thank-you screen with a reference.
Because phone and email are optional, nobody has to say personal details out loud at a counter with other people standing there.
Only therapists genuinely free at that moment are offered. Appointment times snap to 5-minute slots, so someone arriving at 14:07 is booked at the right time rather than rounded oddly. They can also choose a later day or slot rather than the next opening.
The screen works in any language your shop supports.
Ending the session
Click End walk-in session when the tablet goes away. The session is device-specific, and there is a limit on how often new ones can be created — if you hit it, wait the minutes shown.
If the tablet says “Please ask a staff member”
The session has expired or the device was never set up. Start a new walk-in session from the Calendar. It is a normal state after a tablet has been idle a long time, not a fault.
The booking afterwards
It behaves exactly like any other booking: it appears on the Calendar, and you complete it and take payment at the counter. See Managing Booking Status.
Tips
- Warn the tablet before the shop closes. WellDesk tells you if the shop is closed before you hand it over — check the walk-in still fits your remaining hours.
- Look up returning customers every time. It is the whole reason the check-in step exists.
- Keep the tablet charged and on the counter. It only pays off if it is there when someone walks in.
