Google Calendar Sync

Connect Google Calendar once and every booking appears there — new appointments, changes and cancellations all keep it current. Useful when you already live in Google Calendar and want your work in the same place as everything else.

Find it under Settings → General, in the Google Calendar section.

One-way, and why it matters

Bookings sync from WellDesk to Google, not back. Always add, reschedule and cancel appointments in WellDesk. An event you create or drag in Google is not a booking — WellDesk does not know about it, and the slot stays bookable.

Treat the Google copy as a view of your schedule, not a place to edit it.

Connecting the shop calendar

The Owner does this once, and it creates a shared calendar called WellDesk Bookings owned by the Google account used.

  1. Go to Settings → General → Google Calendar.
  2. Under Shop’s Google Calendar, click Connect Google Calendar.
  3. Sign in to Google and grant access.

Once connected the section shows the account and Active. Each appointment carries the customer, service and team member, plus a link back into WellDesk.

Use a Google account that belongs to the business rather than a personal one — the calendar is owned by whichever account connects it.

Your team adding it to their own Google

Each person does this for themselves, from the same section:

  1. Go to Settings → General → Google Calendar.
  2. Under Add shop calendar to my Google, click Add to my Google Calendar.
  3. Check your email and accept Google’s invitation — the calendar does not appear until you do.

Then the shop schedule is on their phone, with Google’s own reminders.

If they see Shop calendar not ready, the owner has not connected it yet.

To stop, click Remove.

Customers get invites regardless

Separately from this, customers and assigned team members receive email calendar invites for their appointments. Those work with any calendar app and need no Google account and no connection here. See Notification Settings.

When something is wrong

The section tells you which of these it is, and gives you the button to fix it:

If you reconnect with a different Google account than the one that owns the calendar, WellDesk tells you rather than quietly making a second one — disconnect first if you mean to move it.

Check this section if bookings stop appearing in Google. A broken connection does not stop WellDesk working, so it can go unnoticed while your Google calendar quietly falls behind.

Disconnecting

Disconnect stops syncing and removes the shop calendar from every team member’s Google. Your bookings in WellDesk are untouched.

Tips

  • Connect with a business Google account, not a personal one you might lose access to.
  • Tell your team to accept the email invitation. It is the step people miss, and then wonder why nothing shows.
  • Never book in Google. It is the one habit that breaks this.
