Schedules and Working Hours

Shop opening hours say when the shop is open. A schedule says who is working inside those hours. This page works the same whether you are a one-person business setting your own hours or a shop setting hours for a team.

Opening the page

  • Working alone: in the sidebar, go to My Schedule.
  • With a team: go to Team → Schedule.

It is the same page. The name changes once you have a second person, and so does the grid — you get a column each instead of just yours.

The page has two views, chosen with the Schedule view switch:

Start here: you may not need this page at all

Someone with no hours saved is bookable for the shop’s whole opening window, on every day you are open.

For a solo shop that is almost always what you want. Your opening hours are your working hours, so they are already set on Settings → Shop → Business Hours — including a midday close, which belongs there as a second interval, not here. See Business Hours.

The same is true of a team where everyone works the shop’s hours. Leave the schedule empty and everyone is bookable throughout.

So use this page when someone works less than the shop is open:

  • a therapist who only does mornings,
  • a colleague who is in on Tuesdays and Thursdays,
  • or — the common solo case — a single day off, which is a date exception rather than a weekly pattern.

The rule that catches people out

The moment you save one interval for someone, their weekly pattern takes over. From then on, every day left empty counts as a day they do not work.

Set Monday’s hours and stop, and you have just made yourself — or that therapist — unavailable Tuesday to Sunday. WellDesk warns you the first time, but this is the mistake to know about.

Fill in every working day, not just the one you came to change.

Setting weekly hours

  1. Open the schedule and stay on Weekly pattern.
  2. The grid has one row per weekday, and one column per person. Working alone, that is a single column — yours. Click the cell for the day you want.
  3. In the dialog, set Starts and Ends.
  4. For a split day, click Add interval and add the second block — for example 09:30–13:30 and 16:00–19:30.
  5. Click Save.

Cells read All shop hours when nothing is set, Not working for an empty day once the pattern is on, or the hours themselves.

To mark a regular day off, open that day and choose Clear — not working this day.

Copying instead of retyping

Inside the day dialog, under Reuse this day:

  • Copy to other days… — give the same hours to other weekdays. Useful on your own schedule: set Monday, then copy it to Tuesday through Friday.
  • Copy to dates… — apply these hours to every matching weekday inside a date range. These save as date exceptions, not as the weekly pattern.

From the menu at the top of a person’s column:

  • Copy this week to… — give someone else the same week. Working alone there is nobody to copy to, and WellDesk tells you so.
  • Clear schedule (back to all shop hours) — remove the pattern entirely and go back to the default. This is the way out if you set a pattern you did not need.

Copying always replaces what is in the destination, and you are told how many days or people that affects first.

Taking a day off, or changing one date

This is the part a solo shop actually uses. An exception covers a holiday, an appointment, a late start — anything on a single date rather than every week.

  1. Switch the view to Date exceptions.
  2. With a team, choose the person under Staff member. Working alone, that is already you.
  3. Click the date in the calendar.
  4. Under On this date, choose either:
    • Works different hours — then add the intervals for that day, or
    • Not working at all — no bookings can be made on that date.
  5. Click Save.

The calendar marks each date as following the weekly pattern, having different hours, or not working. To undo one, open the date and click Remove exception — the weekly pattern applies again.

There are no recurring exceptions. An exception is always a single date. For something that repeats every week, change the weekly pattern instead; for a run of dates — a week away — use Copy to dates… from the day dialog and pick the range.

For a day the whole shop is closed rather than one person, give everyone an exception on that date, or change that week’s opening hours under Business Hours and change them back afterwards.

What customers see

Booking asks for a date and time first, then shows who is free at that moment — on your public page and when you create a booking yourself.

Someone who cannot take the appointment is greyed out with a short reason rather than removed from the list, so a regular customer sees that their usual therapist is not in that day instead of assuming they have left.

A booking outside someone’s working hours is turned down whichever way it is made, including by your own team.

Working alone? You need Show Owner in Bookable Staff switched on, under Settings → Shop → Staff, or you will not appear on your own booking page at all — no schedule will fix that.

Tips

  • Leave it empty if you work your shop’s hours. The default is already right, and a pattern you did not need is just a way to become accidentally unbookable.
  • Fill in the whole week the first time. The empty days are the ones that bite.
  • Use an exception for a holiday, not a pattern change. Change the pattern and you have to remember to change it back.
  • Split shifts belong in Business Hours if you are solo — your opening hours already describe your day.
